Bishop’s University is seeking an Administrative Assistant to the Secretary General for a regular full-time position. Reporting to the Secretary General, the incumbent is responsible for assisting the Secretary General on a range of governance functions and the overall day-to-day administrative support.
The Secretary General provides guidance and governance oversight to the Board of Governors, its Committees, the Senate, the Bishop’s Council, and the Degree Committee of Convocation. The Secretary General is also responsible for coordinating access to legal services, manages and conserves official records and implement policies and procedures that are adopted by the Board of Governors and the Senate and supporting the Principal and the Executive Team. This position has a work week of 35 hours from Monday to Friday with occasional evenings and weekends required.
Nature of Duties & Responsibilities
Support the regular and special meetings of the Board of Governors, Senate, the Bishop’s Council, the Degree Committee of Convocation and the Senior Administration. This includes:
drafting agendas in collaboration with the Secretary General,
liaising with other members of the Institution in securing documentation in a timely fashion,
preparing meeting documentation,
contacting participants,
providing logistical support for the meetings;
attending meetings to record minutes, drafting and distributing minutes,
follow-up on items as needed
Support Board Committees (six or seven) and Senate Committees (as needed)
Record Board resolutions.
Provide support in maintaining relationships with members of the Board, of Senate, the Bishop’s Council, students, employees, alumni, community members, government officials and other external stakeholders;
Collaborate with other University offices in the development of reports to senior management, governance and the government;
Assist in the development and revision of University policies;
Provide support for external reporting (including government);
Ensure the Governance website pages are up to date;
Provide general administrative support;
Ensure that all policy, procedural, documentation and timeline standards are met;
Work closely with the Principal’s Office and the Legal and Compliance offices;
Collaborate with the Offices of the Vice-Principals;
Track and manage budgets on an ad hoc, monthly and annual basis;
Oversee the Secretary General’s calendar and general meetings;

Exigences et conditions
Qualifications & Requirements
Bachelor’s degree;
Understanding and interest in governance an asset.
Over five years’ experience in a similar role working with an executive team member (senior administrator);
Ensures confidentiality, integrity, diplomacy, professionalism, and tact at all times;
Fluent in English and in French (oral and written);
Strong writing skills;
Exceptional organizational skills;
Budgeting and finance experience;
High level technological skills, including survey construction and

Classification: Class 12 $26.04 to $33.99 per hour (APBU – non unionized position)
